Adding Users and Setting Permissions.
The CMMS software is secured with user logins and roles. This CMMS video instructs on how to create logins (user name and passwords combination) and how to adjust permissions for various roles. This software system also enables you to create customized roles to fit your organization’s requirements. There are four installed roles that are quite popular with our users. In many case using these roles and simply adding users to them is sufficient. Additionally all installations use the predefined Administrator role as this is necessary for maintaining the main program settings. Administrators have complete control of all parts of the CMMS software.
Understanding the Equipment Hierarchy (Groupings of Equipment)
The equipment hierarchy is simply a way to group equipment. This grouping is defined by you the maintenance manager. The label of the top-level group, such as: Plant, Factory, University, Hospital, etc. describes what that level contains. For example in a situation where multiple manufacturing plants (commercial baking operation) are contained in the CMMS database you might have Plant #1, Plant #2 and so no listed under the hierarchy level named Plant. Furthermore levels below the top-level (in this example Plant is the top-level) could be Process for example.
In the this example (commercial baking operation) the level below Plant that is named Process could contain a Bread process and Roll process and so on. Additionally each Process could contain one or more Lines. If the decision to name the next level below Process was to name it Line then this level could contain (in the Bread Process for example) Bread Production Line #1, Bread Packaging Line #1, and so on. After the naming of this levels (equipment groupings) the next step is to add equipment items to the Line. Adding equipment to the Line links the equipment to the Process and eventually the Plant as well.
To build further on this MaintSmart has an additional level that extends directly below the top-level (Plant in this example). This level may be named Work Area/Location or simply Location. This extra level below Plant and NOT connected to Process or Line but does derive from the same Plant. Equipment is added to the level as it was in Line in the previous step. This gives the maintenance software a way to provide an equipment grouping (hierarchy level) that linked to the same Plant but not necessarily linked to the same Process/Line. The CMMS videos below further illustrate this concept. This is a tremendously useful feature found only in this CMMS software!
